About Usage of Document Images

1. Regarding materials provided by the National Archives of Japan, the Diplomatic Archives of the Ministry of Foreign Affairs of Japan, or the National Institute for Defense Studies

(1) Personal use

・You may freely download our document images for the purpose of personal use and are welcome to also print them out.

(2) Citation style for academic publications and print sources

・JACAR would deeply appreciate receiving by email copies of papers that quote our holdings. Knowledge of your work as well as how you have used this website will be helpful toward making future improvements.

・We suggest applying the following citation guidelines when using JACAR’s resources:

・Bearing in mind the need to keep citations concise, we suggest stating, in full, “Japan Center for Asian Historical Records” only the first time our holdings are cited. After writing “Japan Center for Asian Historical Records,” continue with the abbreviation “JACAR” followed by specific holding source information. For example, you can type JACAR followed by an A (National Archives of Japan), B (Diplomatic Archives of the Ministry of Foreign Affairs), or C (National Institute for Defense Studies of the Ministry of Defense). The abbreviated holding information ought to then be followed by the relevant 11-digit reference number (example: JACAR: A01000012800).

・We suggest noting the document-holding institutions as well as volume or serial numbers in parentheses. For example, in citing a Foreign Ministry record from Diplomatic Archives of the Ministry of Foreign Affairs of Japan, be sure to include such details as entry number, specific whereabouts, and paragraph number (example: A. 3.4).

・In the case that your quotation includes a large quantity of images, do your best to include an easily identifiable placemark after the reference. For example, (Ref. B02030938800 [58th image]).

(Example 1) When citing from the document “Opened a consulate in Tiantsin” held by the National Archives of Japan:

“Opened a consulate in Tiantsin” Japan Center for Asian Historical Records (JACAR) Ref. A01000012800, Dispatching ambassador or consul No. 3, diplomatic relation No. 28, Dajo Ruiten, 2nd Compilation, Vol. 85, 1871-1877 (National Archives of Japan).

(Example 2) When citing from the document “Katayama Sen no kikō nari to shōsuru Senpō kiji ni kansuru ken,” held by the Diplomatic Archives of the Ministry of Foreign Affairs of Japan:

“Katayama Sen no kikō nari to shōsuru Senpō kiji ni kansuru ken,” Japan Center for Asian Historical Records (JACAR) Ref. B02030938800 (starting from image 58), Miscellaneous documents relating to Communist propaganda / Propaganda towards Japan, Vol. 3 (A.3.4) (Diplomatic Archives of the Ministry of Foreign Affairs of Japan).

(Example 3) When citing from the document “National flag standards and raising method” held by the National Institute for Defense Studies:

“National flag standards and raising method” Japan Center for Asian Historical Records (JACAR) Ref. C01004996400, Raikan Tsuzuri (Rikufu), Part 1, Jan. 1930 to Dec. 1931 (National Institute for Defense Studies).

JACAR is constantly retroactively correcting the information in its catalogue. Consequently, the names of individual records and volumes may change. In principle, however, the reference codes do not change. Accordingly, please use the reference codes when searching for records cited as available through JACAR. (updated June 30, 2022)

(3) Inquiries about original and secondary use

・In principle there is no limit to the secondary use of image data for materials provided by the Diplomatic Archives of the Ministry of Foreign Affairs of Japan or the National Archives of Japan. However, we ask that you please include information about those materials using one of the formats shown below.

For individuals and institutions wishing to use these materials for printed materials, conference poster sessions, and the like, please include “Japan Center for Asian Historical Records” along with the name of the holding institution. Also, where possible, please also include the JACAR reference code.

(Example 1) Japan Center for Asian Historical Records (holding institution: National Archives of Japan), Ref. A01000012800.

(Example 2) Japan Center for Asian Historical Records (holding institution: Diplomatic Archives of the Ministry of Foreign Affairs of Japan), Ref. B02030938800.

Alternatively, please include “Japan Center for Asian Historical Records” along with the name of the holding institution in the reference list for the publication, poster session, and the like.

For those wishing to use these materials for television programs, please include “Japan Center for Asian Historical Records” along with the name of the holding institution on the screen presenting the materials used in making the program.

(Example 1) Japan Center for Asian Historical Records (holding institution: National Archives of Japan).

(Example 2) Japan Center for Asian Historical Records (holding institution: Diplomatic Archives of the Ministry of Foreign Affairs of Japan).

Alternatively, please include “Japan Center for Asian Historical Records” along with the name of the holding institution in the program’s end credits.

・For materials provided by the National Institute for Defense Studies, please contact the Institute directly if you would like to use document images on television or in a publication.
