1.2. Advanced Search screen

With advanced search, you can search for documents by entering search keywords or selecting search conditions.

Avanced Search screen "Series hierarchy" can be seen on the left and "Advanced Search" on the right.

Regarding advanced search (area circled in red ①), please refer to "1.2.1. About Advanced Search."

Regarding series layers (area circled in red ②), please refer to "1.2.2. About Series Layers."

1.2.1. About Advanced Search

Here you will find keyword search conditions and buttons for "Add Search Condition," "Search," and "Clear Input."

・Keyword:Specify a keyword for searching documents. Regarding entering keywords, please refer to "1.2.3. About Keyword Input Items" and "1.2.4. About Keyword Input Methods."

・Add Search Criteria:Click this to add search conditions.

・Search:Click this to perform a search. Regarding search results, please refer to "1.5. Search result screen."

・Clear:Click this to reset the search conditions to their initial state.

When you click "Add search conditions," the following search conditions can be added.

・Date:Input a date or dates to be searched. You can specify Western calendar years or Japanese era names from the pull-down menu.

・Document Type:Select the catalogue type to be searched. You can set this as a search condition by checking off the catalogue type you wish to search. Click "Select all" to set all catalogue types as a search condition.

・Organization Which Owns the Document(s):Select the holding institution or institutions to be searched. You can set this as a search condition by checking off the holding institution(s) you wish to search. Click "Select all" to set all holding institutions as a search condition.

・Type of Documents:Select the type of documents to be searched. You can set this as a search condition by checking off the type of documents you wish to search. Click "Select all" to set all document types as a search condition. (If not all of the checkboxes have been selected, all documents will be searched—both those that contain the types that have been checked off and those that do not.)

・Language:Select the languages to be searched. You can set this as a search condition by checking off the languages you wish to search. Click "Select all" to set all languages types as a search condition. (If not all of the checkboxes have been selected, all documents will be searched—both those that contain the languages that have been checked off and those that do not.)

・Classification Levels:Select the secrecy level of the documents to be searched. You can set this as a search condition by checking off the secrecy level of the documents you wish to search. Click "Select all" to set all secrecy levels for documents as a search condition. (If not all of the checkboxes have been selected, all documents will be searched—both those that contain the document secrecy level that has been checked off and those that do not.)

・Display Result:You can select the number of search results to be displayed per page from the pull-down menu.

・Sort:You can select the display order of the search results from the pull-down menu.

Not specifiedResults will be displayed without the order being specified.
Reference code Displays in order of reference code.
Creation date (ascending) Display in ascending order of creation dates.
Creation date (descending) Display in descending order of creation dates.
Holding institution Displays in order of holding institutions.

・Series:Select the series to be searched. Regarding how to select document series, please refer to "1.2.2. About Series Layers."

1.2.2. About Series Layers

Advanced Search screen "Series hierarchy" can see on the left side.

When searching for documents using Series in an advanced search, you can select from the Series layers on the left side of the screen (the section outlined in red).

Series layers presents a list of series in a hierarchical view.

Click on the plus (+) button to the right of a series to display a list of the series subordinate to the series in question. Click on the minus (-) button to hide the list of subordinate series.

A plus (+) button can be seen to the right of each series in the series hierarchy. Series hierachy with minus (-) buttons on series displayed Clicking the plus (+) button to the right of a series displays subordinate series and changes the plus (+) button to a minus (-) button.

Click on the title links for each series within the series layers to display the catalogue information for that series. Regarding catalogue information, please refer to “1.6.1. About the Series details screen”.

Series titles in the series hierarchy Here you can see that the title of each series is linked to the catalogue information for that series.

To hide the series layers, as shown below click on the triangular arrow (◀) at the boundary between the Series layers and Advanced Search. To display them again, click again on the triangular arrow (▶).

You can select a series by clicking on the checkbox to the left of the series, as shown below. To remove your selection, click on the checkbox again.

You can select series across multiple layers.

The selected series will be displayed under the "Series" field in the Advanced search search conditions, as shown below.

1.2.3. About Keyword Input Items

Keyword input screen You can find here the "Operator" pull-down menu, the "Search items" pull-down menu, a search box, and the "Add search area" button.

・Add search areas:You can add up to six search areas for inputting keywords.

・Keyword:Specify a keyword for searching documents. Regarding how to enter keywords, please refer to "1.2.4. About Keyword Input Methods."

・Search items:Specify the scope of the search.

All Searches all items contained in the documents.
Title Searches the titles of documents.
Creator Searches the names of document creators.
Summary Search summaries of documents.
Organizational history Search the organizational histories of documents.
Reference code Searches the reference codes of documents.

・Operator:You can select the operators to go between search items from the pull-down menu. With the search area that is initially displayed, you can search without any conditions or select the NOT condition. The methods for specifying are shown below.

(1) When including all the search items entered (the AND condition)

Example: When you want to search in all items for documents that contain both "日本” (Japan) and "憲法" (Constitution)

① Type the keyword "日本" in the initial search area displayed.

② In the Added Search area, select "AND" as a condition, select "Title" as the search item, and enter the keyword "憲法."

(2) When any of the search items entered are contained (the OR condition)

Example: When you want to search in all items for documents that contain either "日本" or "憲法."

① Type the keyword "日本" in the initial search area displayed.

② In the Added Search area, select "OR" as a condition, select "Title" as the search item, and enter the keyword "憲法."

(3) When excluding results that contain a search item that is specified after another specified search item (the NOT condition)

Example: When you want to search all items for documents that contain "日本" but exclude those that contain "憲法"

① Type the keyword "日本" in the initial search area displayed.

② In the Added Search area, select "NOT" as a condition, select "Title" as the search item, and enter the keyword "憲法."

1.2.4. About Keyword Input Methods

When using multiple search keywords, you can enter multiple keywords into the search box.

(1) When including all the search items entered (the AND condition)

Example: When searching for items that contain "日本" and "憲法"

Full-width space 日本 憲法
Half-width space 日本 憲法
AND operator
(Including half-width/full-width spaces before and after)
日本 AND 憲法
Half-width plus sign (+) operator
(Including half-width/full-width spaces before and after)
日本 + 憲法

(2) When any of the search items entered are contained (the OR condition)

Example: When searching for items that contain "日本" or "憲法"

OR operator
(Including half-width/full-width spaces before and after)
日本 OR 憲法

(3) When excluding items that do not contain include a specific search item, entered immediately after a specified search item (the NOT condition)

Example: When searching for items that contain "日本" and excluding those that contain "憲法"

Half-width minus sign (-) operator
(Including half-width/full-width spaces before and after)
日本 - 憲法

*Search keywords can be entered that are up to 85 full-width characters long (or up to 256 half-width alphanumeric characters).

If these lengths are exceeded, an error message will display and the search cannot be executed.
